Receive Ingram iPage orders without losing your place

A practical workflow for importing an Ingram order, matching it to the shipment when it arrives, and only updating Square once everything is confirmed.

Start with the order file from Ingram iPage

Export the order from Ingram iPage and import it into book by book.

One small habit makes the rest of the process much easier: make sure the order name includes the Ingram PO number. That gives you a reliable way to find the order later when the shipment arrives.

Don't update Square yet if the books have not arrived

If the shipment is still in transit, stop after the import.

This keeps Square from getting ahead of reality. The order can sit in book by book until you have the physical shipment in front of you and can confirm what actually showed up.

When the shipment arrives, search by PO number

Once the cartons are in hand, go back to book by book and locate the order by searching for the Ingram PO number.

That is the fastest way to pull up the exact order you imported earlier, especially if you have several open orders at once.

If you only have your phone available, there is another practical shortcut: scan the barcode on one of the books in the shipment to find orders containing that book. That can help you get back to the right order even if you don't have the PO number in front of you.

Compare the shipment against the order

Before sending anything to Square, double check the physical shipment against the order in book by book.

If any titles are missing from the shipment, remove them from the order or adjust their quantities before you continue. The goal is to avoid pushing an inaccurate picture of your inventory to Square.

Update Square once everything matches

After you've confirmed the shipment contents and cleaned up any missing books, update Square.

At that point, the catalog and inventory changes reflect the books that truly arrived, which keeps your receiving process accurate and avoids cleanup later.

You're done

The finished workflow is simple: import the order from Ingram iPage, make sure the order name includes the PO number, and then wait to update Square until the shipment arrives. Once the books are in hand, find the order by PO number, remove any books that were missing from the shipment, and then update Square.

That gives you the speed of import while still keeping control over what actually gets received into inventory.
